How to get meeting notes without recording the call

By the Wazomind teamUpdated 26 October 2026
Short answer: Recording and transcribing are not the same thing. Audio can be turned into text as the call happens and then discarded, leaving you an accurate written record with no recording to store, leak or subpoena. Most of the reasons people avoid notetakers are really objections to the stored audio, not to the notes.

Why people refuse recordings

When someone hesitates at “do you mind if I record this”, they are rarely objecting to you having notes. They are objecting to a file of their voice existing somewhere they do not control.

The worries are specific and reasonable: it could be forwarded, it could surface in a dispute, it sits on a vendor’s servers under terms nobody read, and it lasts indefinitely. A written summary carries almost none of that weight. Nobody has ever been embarrassed by the tone of their voice in a bullet point.

The difference between recording and transcribing

A recording is a stored audio file. A transcript is text. The audio only has to exist for as long as it takes to turn it into words.

This is how Wazomind works: audio is turned into text as the call runs and is never stored. Transcripts are kept only if you choose to save them.

What you give up

Being honest about the trade: text loses tone, pacing and emphasis. If a deal later turns on exactly how something was said, a transcript is weaker evidence than a recording.

You also lose the ability to re-listen for something the transcription missed. Transcription is very good now, but it is not perfect with crosstalk, heavy accents or bad audio — and once the audio is gone, you cannot go back and check.

For most sales calls, client calls and internal meetings, that is a trade worth making. For a contract negotiation or a disciplinary meeting, it may not be.

Does it change what you have to disclose?

Less than people assume, and this is worth getting right.

Consent laws are generally written about interception and recording of communications, and a live transcription of a conversation can fall inside that definition even when no audio survives. Not storing the file is a privacy improvement, not a legal exemption.

The practical position: still tell people. The sentence just gets easier, because the honest version is now reassuring rather than alarming — “I take AI notes on these calls; it writes a summary and doesn’t keep any recording.” That is a much easier yes than asking to record.

Which jurisdictions need everyone to agree is covered in is it legal to record a Zoom meeting, and the wording for asking is in how to ask permission to record a meeting. None of this is legal advice.

Four ways to get notes without a stored recording

  1. Live transcription with no retention. The audio becomes text as you talk and is discarded. You keep a transcript and a summary.
  2. Notes only, no transcript. Some tools can write just the summary and action items and keep no verbatim record at all. The least exposure, the least recall.
  3. Write it yourself, properly. Still the most private option. The cost is that you are typing instead of listening, which is exactly the problem the tools exist to solve.
  4. Record, then delete on a schedule. Keep audio for a few days for accuracy, then purge automatically. Better than indefinite storage, but the file does exist for a window.

The question to ask a vendor

Marketing pages are vague about this on purpose, so ask directly:

If a vendor cannot answer those in one sentence each, that is itself the answer.

Notes without the recording

Wazomind transcribes on your own machine and never stores call audio. Transcripts are kept only if you save them, and no bot joins the meeting.
